Creator invoice template
Most late payments are missing details: no PO number, the wrong legal name, no due date. This invoice has every field a finance team asks for, so it gets paid the first time.
Fields every creator invoice needs
- An invoice number, the issue date and a due date.
- Your legal name or business name, address and email. Add your tax number if you charge sales tax, GST or VAT.
- The brand’s legal name, billing contact and PO or campaign number, if they gave one.
- Each deliverable and add-on on its own line, matching the contract.
- Payment methods and terms, including the late fee from your contract.

Getting paid on time
- Invoice the deposit when the contract is signed, and the balance the day you deliver.
- Ask who handles payment before you start, and send the invoice to that person.
- Tie usage rights to payment: the license starts when the invoice is paid.
- Send a polite reminder the day after the due date, and another a week later.

Questions creators ask
+When should a creator send an invoice?
Send the deposit invoice when the contract is signed and the final invoice the day you deliver the last file. Waiting until the post performs only delays your payment.
+Do I need to charge sales tax on creator work?
It depends on where you and the brand are and whether you are registered. Rules differ by country and state, so check with a local accountant.
+What payment terms should I use?
Net 14 or net 30 is common, with a deposit up front. Write the same terms in the contract and on the invoice.
